FEBRUARY 12, 2008

The February 12, 2008 meeting of the National Action Board of the National Collegiate 4-H Organziation was called to order at 9:07 PM (CST). Amber Mathisen (Western Region Second Year NAB and proxy for April Mendenhall) called the meeting to order. Members present included Autumn Sheridan (Western Region Representative), Antoine Jefferson (Southern Region Second Year NAB), Christy Clary (Advocacy Liaison), Jessica Falkenthall (Web Team Liaison and North Central Region Representative), and Amy Schwertner (Secretary.)
Jefferson moved to approve the meeting minutes. Sheridan seconded the motion. The meeting minutes were approved, and the meeting continued.
There was no reading of the minutes or manager’s report.
Under old business, discussion of the strategic plan was first on the agenda. NAB members present decided to discuss information regarding the strategic plan during our meetings next week in Denver at the National Collegiate 4-H Conference.
The following information was then discussed regarding national conference:
NAB Workshop - Amy and Jasmine will work on this weekend and e-mail any hard copies to conference team. Will need projector. There are approximately 10 delegates who have signed up for this workshop.
Service project applications- Decided that there are no changes that need to be made to the applications. Amy sent all applications over the NAB list serve. Amber will be sending an e-mail later this week to all conference delegates. The e-mail will include conference agenda and information, and applications. Jasmine will send an e-mail with information specifically regarding club establishment guidelines and dues by the end of this week to the national list serve. Jefferson will inform Jasmine.
National service file- Mendenhall is still working on this and is still accepting projects.
NAB applications- Falkenthall will work on business manger and secretary applications to be sent in to conference delegates.
National Service project grant- Nothing has been completed on the grant.
The next item of business was discussion on the North Eastern Region. Currently there are no NAB members registered for conference from this region. However, there are delegates registered from the University of Maryland and Rutgers University. Mathisen will contact someone from the North Eastern Region to see about getting a representative from their region to sit in on the NAB meetings during conference.

Clary gave a quick update on the advocacy team. She said that the national newsletter that will be handed out at conference is nearly ready. She still has a small space that needs to be filled, and if anyone has anything they would like to put in this place they should get in contact with her.

Mathisen then briefly went over the NAB’s schedule for conference. Eddy Mentzer will be attending conference in place of Byron Garrett. He will be sitting in on the NAB meetings during conference and will share information from Cathann Kress and the National 4-H Center. Meetings on Wednesday will begin at 5 PM. Betty from NAE4-HA will be present at the Wednesday evening meeting. NAB will break for dinner at Trail Dust, and return to the hotel for further meetings later that night if needed. Mathisen will send out an agenda later this week.

It was mentioned to promote the Agriculture Consortium Liaison positions. There are two positions that need to be filled for next year.

Falkenthal then asked about the $2,000 donation that the conference team should have received from the Ag Consortium. Mathisen was not sure, but would check with Mendenhall to see if the money had been received.

Jefferson then moved to adjourn the meeting. Sheridan seconded the motion. The meeting was adjourned at 9:39 PM (CST.)

National Action Board Meeting

The January meeting of the 2007-2008 National Action Board was called to order on January 22, 2008 at 9:10 PM (CST) via teleconference call by Mendenhall.

The agenda for NAB meetings during national conference was discussed first. It is as follows: Strategic Plan, NAE4-HA, and regional acceptance.

Jefferson is creating a constitutional amendment that will add a diversity section to the club of the year application. Falkenthal then mentioned that an amendment should be created that addressed the NAB chair person. NAB members present agreed with Falkenthal that the NAB chair person should be someone who has had national collegiate 4-H experience and who has successfully completed their past position at the national level. The national organization should be able to vote on the NAB chair person, and this should become effect at the 2009 national conference. A constitutional amendment on the NAB chair person election may be seen at the upcoming national conference.

Mendenhall then announced that Eddie Mentzer and Betty Wingerter would be joining the National Action Board during their Wednesday night meetings at national conference. Wingerter is requesting a list of questions from us for her to answer regarding her NAE4-HA’s relationship with the national collegiate 4-H organization. NAB members should check the Facebook group for brainstorming ideas about the two organizations partnership.

Mendenhall then mentioned that Storms, Bray, and Cerny have not registered for conference yet. Mathisen said that she would try to get in touch with Cerny and Stroms to see if they are planning on attending, and Falkenthal said she would speak with Bray.

Antoine then updated NAB on the diversity activity he will be presenting at conference.

Applications were discussed next. Falkenthal and Schwertner spoke about the National Service Project of Emphasis application. Falkenthal suggested that clubs develop the service project at conference, and then the community serviced project team could organize the project. Discussion and ideas followed. Schwertner then mentioned that she e-mailed the web team, advocacy team, and club of the year applications to the NAB list serve prior to the meeting.

Schwertner said she had no update on the list of service project grants. This issue will be discussed more during the NAB meetings at conference.

The Round Table Discussion workshop at conference will be presented by Schwertner and Honore. The workshop will focus on the information about the National Action Board. They will let Mendenhall and Mathisen know what materials they need.

Advertising of the secretary, business manager, and agricultural consortium positions was discussed next. Since regions choose their own representatives to interview in front of the NAB panel, a short information paper was discussed for candidates to fill out prior to interviews. The paper would include information such as why they want the position and their involvement in the collegiate 4-H program. Mathisen volunteered to work on the application and would send it to the list serve when finished. All of these applications as well as web and advocacy applications will be sent to the national list serve prior to conference.

Clary said that she got all of information from Kristen Barnhart for the voting member orientation and is ready for the meeting.

Mendenhall announced that Mathisen and Sheridan would run the national business meeting because she would busy with conference duties.

Under regional updates, Falkenthal announced that the North Central Region is discussing creating a regional strategic plan.

Falkenthal then gave a short web team update. She said that she needed to pay $160 to the web hosting company for the website URL. Jefferson said that he would speak with Honore so that she could get in touch with Falkenthal about the payment.

Mendenhall then spoke of the conference banquet decorations. The 2009 conference planning committee is responsible for these decorations. It should be something that represents their conference or the city it will take place in.

The next NAB meeting will be held on February 12 at 9 PM (CST).

Jefferson then motioned to adjourn the meeting. Falkenthal seconded the motion. The meeting was adjourned at 10:27 PM (CST).

National Action Board Meeting with Cathann Kress

The December 4, 2007 meeting of the National Action Board was called to order at 9:07 PM by April Mendenhall (Conference Coordinator and acting NAB Chair.) Amber Mathisen (Western Region Second Year) moved to approve the minutes from the last meeting. Sara Edens (Southern Region President) seconded the motion.

Under old business, NAB discussed their thoughts and ideas for improving the National Collegiate 4-H Organization with Cathann Kress (Director, Youth Development National 4-H Center.) The meeting proceeded with Kress asking questions and NAB members responding.

Mendenhall began explaining to Kress what progress we have made, and the ideas that were outlined in the document sent to Kress prior to the conference call. The document has five benefits that NAB see’s collegiate 4-H having toward the 4-H program. Over the past three years, the National Collegiate 4-H Organization has been working on service project that are nationwide. Recently, the NAB has been brainstorming what we see our organization doing in the future.

Jessica Falkenthall (Web Team Liaison and North Central Region Representative) continued this discussion by telling Kress about our most recent service projects. Operation Military Kids was voted on as national service project by the national body at the 2006 National Collegiate 4-H Conference. Information about what clubs can do for this service project was added to the website so that collegiate clubs could become more involved at the national level. NAB would like to see training given to conference delegates regarding the national service projects as well as the new 4-H SET initiatives.

Falkenthall continued by added that we would like to see a continuous service project done over a certain period. We would like for the service project to relate to the 4-H mission areas as well.

Kress then asked the NAB how state 4-H program leaders and the National 4-H Center could help the National Collegiate 4-H Club. Mendenhall answered by saying that we would a liaison from the National 4-H Center. This would give our organization some continuity, because we have such a high turnover rate among the NAB officers. The liaisons roles would be to have a contact list of all of the collegiate 4-H clubs from across the nation. This person would also give our organization a place to house documents and paperwork. The liaison would be able to give the collegiate 4-H organization support and information about the mission mandates from the National 4-H Center, as well as training at our national conferences.

Kress then asked us what other needs we were looking for. NAB responding with funding. The organization could really use funding when it comes to individual clubs planning and hosting regional and national conferences. Although most clubs are able to get some support from the student governments, it usually is not enough to host a large event such as national and regional conference. We would also like to be able to offer community service grants to clubs so that they can participate in the national community service project, as well their own club’s service projects.

Kress then announced that her staff at the national 4-H center are looking at opportunities they can provide collegiate 4-Hers with that will coordinate with every school’s academic schedule. They are also discussing the idea of combining national events so that everyone can see what opportunities are available Falkenthal then mentioned the idea of combining the National Collegiate 4-H Conference with the National NAE4-HA Conference. Falkenthal and Mendenhall already have plans of meeting with the NAE4-HA president the following week.

Kress then asked NAB what we would like to see at our conference. The answer included workshops that focus on the 4-H mission mandates, especially the recently released 4-H SET. An idea that came up during discussion was that each conference meal could focus on one mission mandate. This way it would meet the entire delegation rather than the 20 or 30 that sign up for a particular workshop. We would like someone from the national 4-H center to be available to present the workshop, because they know first hand about the mission mandates. Kress said that she would check with Byron Garrett to see if this could be a possibility.

The next steps that need to be taken to reach these goals include encouraging collegiate 4-H members become more involved at the national level. Work also needs to be done to achieve the goals outlined in the strategic plan. These first few steps need to be accomplished by the National Action Board.

To create plans that would work with collegiate schedules, the National Collegiate 4-H Organization would need some structure. Because there is such a high turnover rate within the organizations leadership body, the organization needs someone that could be a continuous advisor or liaison between the collegiate 4-H organization and the national 4-H center. This person could carry on information from old member to members without the organization missing a beat.

Kress then mentioned that she can communicate with NAB through the NAB list serve and Facebook group. Mendenhall said she will forward our goals on to Kress, and Falkenthal explained what our longer term educational goals were. Kress then said that she would begin working with her staff to see what they could do to help us accomplish our goals, thanked us for our time and left the conference call.

Under old business, Mendenhall then explained about NAB’s idea of creating an alternative spring break program. This program could focus on the new mission mandates, but last for a continuous month. This would allow various universities to participate in the leadership opportunity during each of their various spring break schedules. A project could be done within a larger city where the program could move from school district to school district throughout the month with each changing week. There could be new facilities each week from new universities from across the country.

Edens then commented on the Southern Region conference. There were 14 participants. They discussed the idea of combining their regional meeting with the Southern Region Volunteer Leaders Association meeting. She mentioned that this would lower the cost to approximately $25 per person. Casey East, Troy University is checking for more information and will report back at a later date.

Falkenthal said that the North Central Regional is still discussion who will host the 2009 National Conference.
Mathisen then motioned to adjourn the meeting. Edens seconded the motion. The meeting adjourned at 10:04 PM (CST).
